We are seeking a proactive and detail-oriented Facilities & Administrative professional to join our renovation project team. Reporting to the Senior Manager - Civil, you will play a key role in coordinating office renovation and relocation activities, ensuring smooth business operations throughout the project lifecycle.

Key Responsibilities

Project & Facilities Coordination

  • Support the planning, coordination, and implementation of a major administrative centre renovation project.
  • Assist in monitoring project progress, budget, timeline, quality, safety, and compliance requirements.
  • Coordinate office facilities management activities to ensure uninterrupted business operations during renovation works.
  • Develop and implement staff relocation and temporary accommodation plans, including logistics and scheduling.
  • Liaise with contractors, consultants, suppliers, and service providers to ensure timely project delivery.

Stakeholder Management

  • Work closely with internal user groups to identify and address operational and workplace requirements.
  • Coordinate with internal departments and external leasing agents regarding temporary office arrangements.
  • Facilitate communication among project stakeholders and ensure alignment throughout project execution.
  • Organize and participate in project meetings, site inspections, and progress reviews.

Administrative Support

  • Maintain project documentation, reports, records, and correspondence.
  • Support the implementation of workplace sustainability and waste management initiatives.
  • Handle ad hoc project and administrative duties as assigned.


Requirements

  • Bachelor's degree in Facilities Management, Property Management, Building Management, Business Administration, or related disciplines.
  • Minimum 3 years of relevant experience in Facilities Management, Office Administration, Workplace Services, Property Management, or Project Coordination.
  • Experience supporting office relocation, workplace renovation, facilities operations, or workplace projects is highly preferred.
  • Strong organizational, coordination, and stakeholder management skills.
  • Excellent communication and interpersonal skills with a customer-focused approach.
  • Ability to work independently, manage multiple priorities, and meet tight deadlines.
  • Good understanding of workplace health, safety, environmental, and quality standards.
  • Proficiency in spoken and written English and Chinese.
  • Immediate availability is an advantage.
