Role Overview
A well-established Family Office based in Voula is seeking an exceptional Executive Assistant to support the Owner/CEO in managing business affairs, projects, schedules, travel arrangements, and day-to-day operations.
The Family Office is active in real estate development and management, shipping, and charitable initiatives, offering exposure to a diverse range of business activities. This position is ideal for a highly organized, proactive, and versatile professional who thrives in a fast-paced, international environment and can operate with absolute discretion and professionalism.
The team operates on a flexible working model, allowing 1-2 remote working days per week.
Key Responsibilities
Manage complex calendars, meetings, appointments, and business correspondence.
Coordinate domestic and international travel arrangements and itineraries.
Support the CEO in the coordination and execution of projects across multiple business interests.
Communicate with clients, advisors, financial institutions, lawyers, service providers, and other external stakeholders.
Obtain quotes from suppliers and service providers and oversee related administrative processes.
Coordinate payments and assist with day-to-day operational matters.
Prepare presentations, reports, and professional documentation.
Monitor project timelines, deadlines, and follow-up actions.
Organize corporate, social, and charitable events.
Support the efficient and smooth operation of the Family Office.
Travel occasionally within Greece and internationally, as required.
Requirements
University degree (mandatory; not TEI).
Prior experience as an Executive Assistant or in a similar administrative or organizational role is not required but certainly a plus
Prior experience in a similar role is considered an asset/plus, but is not required.
Excellent command of English, both written and spoken.
Strong organizational, communication, and multitasking abilities.
Advanced knowledge of Microsoft Office and digital productivity tools.
Ability to work independently while managing multiple priorities.
Willingness to travel occasionally for business purposes (During the first six months, travel to Drama in December for the scholarship ceremony and Mykonos for property/partner onboarding) will be required.
